Administrative Assistant

The Fila Group is seeking an Administrative Assistant to work within a project team in support of an IT project for a federal government client. The Administrative Assistant provides support services for the project’s Engagement Manager. The Assistant should enjoy working closely with executives in support of project and program logistics, reports and deliverables. The Assistant supports various activities including reporting, communications, new employee onboarding, meeting notes, budgeting and policy authoring. The Assistant reports to the Engagement Manager and provides direct support to the Engagement Manager.

Position Responsibilities

  • Perform onboarding of new employees including but not limited to: Ensuring that paperwork gets completed, requesting email and IT accounts, coordinating logistics with the new employee and ensuring equipment is ordered.
  • Ensure weekly, monthly and iteration-specific reporting is complete, posted and delivered.
  • With support of the Engagement Manager, author policy and standards
  • Manage document repository
  • Capture and post meeting minutes from meetings as assigned by the Engagement Manager and/or Account Owner
  • Support program updates such as project schedule, financials, expense tracking, individual velocity tracking and other deliverables as assigned by the Engagement Manager
  • Author presentations and trainings
  • Author responses to task orders and requests for proposals
  • Manage team calendars and meeting notifications
  • Other duties as assigned by the Engagement Manager and/or the Account Owner

Position Requirements

  • 4+ years of experience as an Administrative Assistant
  • In depth knowledge of Microsoft Office products including Word, Excel, PowerPoint and Project
  • Experience working with IT Executives
  • Experience working with Salesforce.com is beneficial
  • Experience working with Rally Software for reporting is beneficial
  • Seeking a unique combination of analytical and administrative capabilities
  • Must be able to communicate clearly both verbally and written in grammatically correct English
  • Ability to work on multiple tasks and deliver results with aggressive timelines
  • Able and willing to work independently and in a fast-paced environment with tight deadlines, with minimal supervision
  • Take initiative to recommend process improvements and demonstrate creative thinking
  • Demonstrate self motivation and the ability to grasp concepts quickly
